1. WHAT WE RECEIVE
If you choose to submit a sound, we collect the audio Recording, any optional picture attached to it, or video with its soundtrack, your name, email address, country, a sound description, and any optional city/region, personal story and social profile you choose to provide. We also store your choice about public name credit; your confirmations about age, payment and terms; whether the sound was made by an adult or a child, and (where applicable) the adult submitter’s confirmation of parental or guardian authority and the child’s agreement where required; the accepted agreement version; and a date/time, file size, media type, reported or measured duration and checksum of the Recording. Basic technical abuse-protection data may be processed in pseudonymised form.
1A. CHILDREN'S RECORDINGS
Only an adult parent or legal guardian with the necessary authority may submit a sound made by a child. We record the adult's declaration of authority and required agreement, but do not ask for the child's full name or date of birth. Please avoid identifying children in recordings, descriptions or stories. Children's voices may themselves be identifiable personal information. The adult may contact us to raise a concern, request access or exercise applicable rights on the child's behalf; a child may also have independent rights under applicable law. We assess such requests with particular care and may restrict or stop future uses where required.
2. PURPOSES
We process this information to receive and review your sound, contact you if needed, document your licence and choices, create and publish audio-related works, credit you when you opt in, defend or establish legal claims and protect the service against abuse. We do not use the form to subscribe you to marketing emails.
3. HOW THE RECORDING IS SENT
After you choose to send, your browser uploads the Recording and form data over HTTPS to the website hosting environment. For audio submissions with an optional picture, the picture may be stored in a non-public hosting directory linked to the sound reference and notified separately. For audio submissions, the application forwards the audio file to the WMM project mailbox through encrypted, authenticated SMTP. For video submissions, the original video and its separately extracted audio file are intended to be stored in a non-public hosting directory; the extracted audio may be attached to an internal notification email. A technical receipt is kept in a non-public area of the hosting environment. We use an email hosting provider for the mailbox and website infrastructure. Depending on the providers and the location of recipients, data may be processed in other countries; applicable legal safeguards should be reviewed before launching internationally.
3A. VIDEO DERIVATIVES AND RESTRICTIONS
For optional pictures accompanying audio, WMM stores the original picture in a private directory, subject to the contributor licence and manual publication review. No identifiable people are permitted in submitted pictures. For video submissions, WMM plans to retain two files in private server storage: the original audiovisual file with its soundtrack unchanged and a separately extracted audio file. No separate silent-video copy is required. Video material may contain incidental metadata and imagery; contributors must not include identifiable people, voices or conversations of third parties, performances, music, television extracts or other unauthorised content. WMM manually reviews submissions before any publication. Protected storage is not the same as an automatic promise of deletion; contact WMM to request information on retention or your applicable rights.
4. PUBLICATION AND THIRD PARTIES
Any Recording selected by WMM may be edited, publicly released or commercially sublicensed in accordance with the Sound Sharing Agreement. Public audio may reveal identifiable voices or other information contained in a Recording. You are responsible for ensuring that any necessary permissions for others' voices or rights have been obtained. If you select anonymous credit, WMM will not intentionally publish your supplied name as a credit; your voice or details in your Recording may still identify you.
5. RETENTION AND ACCESS
We retain licence and transaction records as long as reasonably needed to demonstrate our permission to use recordings, maintain project records or defend legal claims. Recordings and correspondence in the project mailbox and private video storage may be retained for as long as reasonably needed for the permitted uses, documentation or claims. WMM does not publish a fixed deletion deadline for accepted source files. Technical rate-limiting records are short-lived; this implementation rotates IP-based pseudonyms daily. We restrict access to authorised project administrators. You can request details about the data held in connection with a submission or ask for applicable deletion or correction through the contact address above.
6. YOUR RIGHTS AND CONTACT
Subject to applicable law, you may ask what personal information we hold about you and request correction, deletion or other applicable data-protection actions. Please write to sound@worldmademusic.com. Requests involving an already-licensed Recording will be considered in light of the licence and any mandatory rights; deletion of information is not always identical to withdrawal of a copyright licence.
7. MICROPHONE ACCESS AND COOKIES
Your browser asks before giving the page microphone access, and for camera access if you choose to record video. Local previews remain in the browser until you submit. An audio or video Recording is not sent to WMM until you complete the form and click “SEND MY SOUND”. The submission form does not itself require a user account. The page loads a Google Fonts stylesheet and links to third-party social networks; those services may process technical information when accessed. Standard hosting logs may also apply. For third-party services, their own privacy practices may also apply.
For data-protection questions, please contact the responsible operator at the email address above. This notice may be updated if the services or processing practices change.
